• Roots & Branches Ancestry Limited will make an initial free search based on the results in the PDF or website Research Assessment Form before we begin working on your commission to ensure that there is a good chance of making progress on your project.
• If you need the project to be completed by a specific date, please do let us know and we will do our best to work to that date. For a ‘last-minute’ or more flexible gift, please consider a Roots & Branches Ancestry Gift Voucher.
• Before starting any research, Roots & Branches Ancestry Limited will confirm in writing the cost of the project and its expected completion date. For all projects, an initial 30% deposit of the fee will be due once a research plan has been agreed.
• If research problems do arise, Roots & Branches Ancestry Limited will keep you fully informed about the progress of your project, no additional costs will be incurred without your express and written permission. If it is not possible to complete a project, you will only be charged for the research that has taken place up to that point.
• The final phase of any project is the production of the book design. This can be a long process but that time will have been built into the original costs. Any outstanding balance will be invoiced as the report documentation is being compiled and payment will be due at this point.
• If your research can be sent to you by email, this will be done as soon as the final payment has been received. If your family book(s) needs to be posted, it will be posted out at no extra charge.
• Please note that copies of any original research documents remain the property of Roots & Branches Ancestry Limited until the final payment has been made.
• Roots & Branches Ancestry Limited provides reports for a client’s personal use and shall retain the copyright on any and all reports provided. Research notes and plans remain the property of Roots & Branches Ancestry Limited.
• All family book designs remain the copyright of Roots & Branches Ancestry Limited and can not be duplicated, copied or reproduced in any way.
• We ask all clients to agree in writing (or e-mail) our Terms and Conditions before starting work on a project. All estimates are free so please don’t hesitate in asking ask questions.

Genealogical Work

• Work will only commence after the client has accepted the Terms and Conditions.
• Roots & Branches Ancestry Limited will carry out research as agreed with the client but cannot guarantee success as this is often dependents on external factors and sources.
• Ancestral information provided by the client as part of the basis of research will be taken as accurate. We will not be held responsible for inaccurate or incorrect information provided by the client.
• Should the client wish to cancel an ongoing commission all work carried out up to that point will be charged for.

Chargeable Time

Chargeable time includes:
– a. time spent engaged in any form of genealogical research, in any location;
– b. time spent creating draft and/or finalised family trees as working documents or for the client;
– c. time spent creating and updating any presentation materials as agreed with the client;
– d. time spent in telephone calls involving the client or third parties;
– e. time spent in correspondence with the client or third parties;
– f. time spent in travel to and from a location.

Expenses

The following expenses will be charged to clients where applicable to the case in question:
– a. documents purchased such as birth, marriage or death certificates.
– b. professional fees incurred by Roots & Branches Ancestry Limited;
– c. private travel by car (at €0.60 per km).

Invoices

Invoices must be paid within 30 days from the date on the invoice.
Roots & Branches Ancestry Limited reserves the right to take legal action against any client who does not pay an invoice.

Methods of Payment

Payment is only accepted in Euro.
Payment may be made by any of the following methods:
– a. cheque (made payable to Roots & Branches Ancestry Limited);
– b. bank transfer (bank details available on request);
– c. PayPal (there is an additional 5% charge to cover commission).

Cash payments are also accepted – cash is sent at the client’s own risk – Roots & Branches Ancestry Limited takes no responsibility for the safe transit of cash.

• A Roots & Branches Ancestry Gift Voucher make an ideal, personal and flexible wedding, anniversary, Christmas or birthday present and can be used in full or part-payment for any of the services that Roots & Branches Ancestry provides.
• How the Roots & Branches Ancestry Gift Voucher is spent will be entirely up to the recipient. We are very happy to discuss and suggest different potential projects with them.
• You can choose the value of the voucher from the selection available or choose one for any of our six packages with the reassurance that any voucher is valid for a full three years from date of purchase.
• If an intended purchase is for a higher amount than the face value of the Roots & Branches Ancestry Gift Voucher, the difference can be made up with an additional payment. If it is for a lower amount, then the balance will be transferred to a second Roots & Branches Ancestry Gift Voucher with an expiry date one year later than the first.
• Roots & Branches Ancestry Gift Vouchers cannot be exchanged for a cash payment.
• You can consolidate multiple voucher balances into a single payment amount.
• Roots & Branches Ancestry Gift Vouchers ordered through our website can be delivered by email to an email address you specify.
• The buyer of a Roots & Branches Ancestry Gift Voucher is entitled to a 14-day ‘cooling off’ period from the date of purchase with a full refund, less any printing and postage costs already incurred, provided that the voucher has not been committed to pay for research work already commenced.
• Any payment returned to the original buyer will be refunded in the same form as it was received.
• If you wish to request the cancellation of a Roots & Branches Ancestry Gift Voucher that you have purchased, this can be done via email.
• Roots & Branches Ancestry are not responsible if a voucher is used without permission – no replacement or refund will be provided. If a voucher is lost, destroyed or stolen and details of it can be matched against an unused certificate in our records then it will be honoured. When ordering a Roots & Branches Ancestry Gift Voucher to be sent via email, please ensure that the recipient’s email address is correct in order to reduce the risk of loss.
• A Roots & Branches Ancestry Gift Voucher can be applied to commissioned research work currently in progress but cannot be used as a refund against work already completed and paid for.
• Any Roots & Branches Ancestry Gift Voucher balance can be used as part-payment for another research project or put towards the purchase of another Roots & Branches Ancestry Gift Voucher but it cannot be exchanged for cash.
• A Roots & Branches Ancestry Gift Voucher cannot be sold to any third party without our express written consent, which may be subject to any conditions which we impose.
• How can I use the Gift Vouchers?
  Gift vouchers may be used towards the cost of any of the services offered by Roots & Branches Ancestry.
• What is the minimum amount I can buy?
  The minimum amount is for €100 and Roots & Branches Ancestry Gift Vouchers may be purchased in a range of values: €200, €300, €500, €750, €1,000, or for any of the six packages we offer – Ebony Package (€1,720 +23% VAT), Sandalwood Package (€1,480 +23% VAT), Teak Package (€1,320 +23% VAT), Walnut Package (€1,180 +23% VAT), Oak Package (€1,020 +23% VAT) or Mahogany Package (€880 +23% VAT). Vouchers for the packages do not include to cost of any purchased Birth, Death or Marriage Certificates purchased on your behalf and with your consent.
• How long are the Roots & Branches Ancestry Gift Vouchers valid for?
  Roots & Branches Ancestry Gift Vouchers remain valid for three years from the date of purchase.
• How are the Roots & Branches Ancestry Gift Vouchers redeemed?
  The Roots & Branches Ancestry Gift Voucher will include details for the recipient to get in touch with us when they are ready to proceed having genealogy research completed. We will ask them to share with what they already know about their family history and to specify what their research objectives are. Once that is done, the research will commence and a date for completion will be provided.
• What if it is not possible to find any information?
  In the very rare occasion where there is simply not enough ancestral information available to allow for a family history research report to be undertaken, a full refund will be provided to the person who purchased the Roots & Branches Ancestry Gift Voucher.
